Accounting Features

Accounting Office is a fully integrated accounting package with a complete suite of accounting functions including nominal, sales and purchase ledger, stock control, sales and purchase order processing.

Accounting Office has full multi-currency support with built-in EC VAT compliance. Dual base currencies provide full Euro support, including Triangulation. The purchase order system automatically displays contact names, telephone numbers, preferred suppliers, supplier references at account and item level, and tracks and reminds the lowest buy price. Full flexibility allows complete tracking and control over the order process. Invoices can be reconciled with orders and goods received quickly and easily, including multi-order invoices.

Stock control is fully integrated. Stock is posted to the ledger as it is received, with picking lists for outstanding sales orders being updated automatically. Stock received but not invoiced is automatically accrued. The accrual is automatically reversed when the invoice is posted. Stock items may be allocated to any number of categories. Stock items have ninety nine price bands with default pricing either by margin or discount set separately for each category.

Sales Order Processing has fully automated stock allocation, with optional automatic picking. Controlled release of service items allows service suppliers to set up a billing profile following contract agreement and release invoices as they fall due. Batch-numbered stock items may be tracked from order to sale. Stock ageing at consignment level allows reporting of obsolescent stock.

For businesses that do not require full sales order processing facilities, direct invoicing provides a quick and easy way to process sales (including full stock control).

Fixed Assets may be allocated to any number of categories. Depreciation parameters may be set separately for each category, allowing a choice of straight line or reducing balance methods.

Financial reporting features include a customisable balance sheet and profit and loss account and a wide variety of standard reports. Reports are of DTP quality using Windows scalable font. In addition, Accounting Office has native support for the Crystal report writer. The database (Microsoft SQL Server) is ODBC compliant and supports a wide range of third party report writers.

The user defined reports facility allows reports to be constructed using the full power of the SQL language including groupings, joins and sub-queries. Accounting Office's internal tables include detailed information on sales margins and volumes by department, cost centre, and period for almost unlimited reporting possibilities. When a quick answer is sufficient, the query facility allows you to enter an SQL query and display the answer instantly.
